Dashboard: Data Review; Process JPEG Images for Storage

PURPOSE: To guide users in the second step of importing documents into the Grooper Dashboard from the Grooper Attended Client; in this step, user will verify each document and the student data assigned to it match.

AUDIENCE: All Grooper Users

OTHER SYSTEMS IMPACTED: Data is added and/or changes in both Colleague and Laserfiche.

 

INSTRUCTIONS: 

  1. Open “Grooper Dashboard” Application
    • Find it from the Start menu (Windows 7 or Windows 10) by typing in “Grooper Dashboard”

       
  2. Open the application
     
  3. Select the Batch Name that you created in Step 4 under “Add the JPEG Image(s) within Grooper” from the list by single-clicking on the title
    • The Batch Status should show as “Ready” and Current Step should show as “Image Processing”
  4. Select “Process” from the header

     
  5. It should run through several steps before ending on the “Classification Review*” step
  6. Once it is on the “Classification Review” step, you will need to select the batch name and select “Process”

     
  7. Within the Grooper Attended window, scroll down the imported documents and verify all were classified correctly
    • Example: Erate should show “Erate{School Year in a two-digit format}C ({Page #})” or “Erate22C (1)”
  8. If all are processed correctly, select “Complete Task” at the top

     
  9. Within the Grooper Dashboard window, select “Process” after the Current Step column changes to “Data Review”

     
  10. Within the Grooper Attended window, you will need to complete the following for every record:
    • To switch between records, use the arrow keys
    • If data is populated, verify the data presented matches the data on the scanned document
    • If nothing is populated, you can search by the Student ID# (must be 7 digits long, example 0564810) or by the First and Last Name (CTRL+L)       
      • Once data is populated, verify it is a match to the student’s record that is front of you:
        • Erate – Example: The “ID” field, verify it matches the ID that shows to the right of “Survey Number”
        • FERPA – Example: Verify the name shown matches what is written. If unsure due to possible name change (ie, married since FERPA was turned in), open Colleague and verify the information there. If unsure still, please email the District Registrar for confirmation
      • Erate Specific task:
        • If ALL checkboxes are “No”, in the OMR drop down select “W”
        • If ANY of the checkboxes are “Yes”, in the OMR drop down select “R”
  11. Once completed with all records, select “Complete Task”
  12. Within the Grooper Dashboard window All of the bars should show as Blue (aka Completed)

     
  13. You may exit out of Grooper, you are finished
