Coursedog: Adding a Department and/or Department Workflow Step

Introduction:

Coursedog is an enterprise software platform that allows institutions to manage their academic programs and requirements efficiently. It automates manual administrative tasks, improves communication and collaboration, and enhance operational efficiency.  In this knowledge article, we will provide step-by-step instructions on how to add a department and configure workflow settings within a department so that approval workflows may include a dynamic step that routes proposals to users associated with specific department(s).

Prerequisites:

You must have a Coursedog user account and rights to add and/or edit a Department.  

Step-by-Step Directions:

  From the Curriculum Management or Scheduling Management dashboard click on Settings

  Click on +ADD DEPARTMENT Uploaded Image (Thumbnail)
 
 

Enter the following information: 

  • Department Display Name – Department name that will appear on various screens.

  • Full Name – The department’s complete name.

  • Effective Start & End Dates (Optional)  

  • Subject Code – A code that corresponds to an area of study to which courses are assigned.

  • Status – Select either “Active” or “Inactive” from the dropdown menu.

  • Hide in Scheduling and Hide in Events (Optional) – These fields default to 'No'.

  Department workflow settings must be configured in a department so that approval workflows may include a dynamic step that routes proposal(s) to users associated with specific department(s). From a department, click Workflow Step. Uploaded Image (Thumbnail)

 
 

Enter the following information: 

  • Step Name – Enter Department Name + Campus Review

    Example: Welding Combination Campus Review

    Note: This is what the approver will see in the Proposal Toolbox - Workflow tab when reviewing the proposal.

  • Participants – Committees or individual users can be added.

  • Votes required for approval - The number entered will vary, number should equal one vote per campus.  Example: Welding Combination is offered at four campuses. Number entered is 4.

  • Votes required for rejection - Enter 1

  • If rejected at this step... – Select Return the proposal to its author from the dropdown options.

  • This step has a deadline... - Select YES

  • Deadline Day - Enter 3

  • At deadline... - Select Move the proposal to next step from the dropdown options.

Click SAVE DEPARTMENT
