Introduction

Report Types

Ad Hoc Query is an easier way to get data faster with temporary results based on run-time parameters. Ah hoc queries are only available to the user who runs the query and cannot have visuals saved for them.

Data Sets are the building blocks for a set of indexed records. A record is a collection of fields. Fields can be a simple value, such as a number, test, an object, or an array of objects.

Data View is a row and column grid sourced from a single Dataset. Data views provide record-level detail in a familiar spreadsheet-type format allowing for on-the-fly groups, sorts, aggregates, formatting, and pivot tables.

Templates are a customizable format for viewing and exporting data. Templates can be viewed directly as a webpage or exported as a PDF for easy sharing.

Inputs

Inputs are the criteria entered into the “Query Run” window before the report will run and return data. Inputs allow a user to specify what data they want to pull, rather than hard coding all the values into the report. Ad Hoc Queries prompt the user to re-enter input values every time the query runs. Examples of inputs might be Date Ranges, by Term, Colleague ID (Person ID or Student ID), Campus Location, etc.

Filters and Groups

Filters are used on a report by clicking on the “Filter” icon in the top right to open the Filter panel.

Click the “+” icon at the left of the Filter bar and choose how to filter the data. Select the “Filter by Fields” or “Choose a Saved Filter” to apply the filters.

Narrow down the results even further by adding additional filters. Filters appear on the Filter Bar. Click “Apply” in the bottom-right corner to apply the Filters.

Remove Filters by clicking the “Filter” icon in the top-right corner, then click the “X” next to an individual filter in the Filter Bar or click “Clear All Filters”.

Groups are like Filters but instead they allow you to group data based on the distinct values of the selected field. To add a Group, click on the “Add Group” button in the grid settings bar at the top and then select the field to group by. To remove a group, click the “X” next to the Group or click the drop-down arrow next to the field header and click “Remove Group”.

Export

Export the report results by clicking on the down arrow, export icon in the top right corner. A list of available options will be displayed, most commonly CSV, Excel, and PDF are available. Select the desired file type and fill out the necessary fields to export the file, if any.
