XDCA: Daily Call Absent Students

Purpose

The Daily Call Absent Students (XDCA) report in Colleague is used to generate a comprehensive list of students who were absent on a given school day. This report serves as the basis for generating calls to parents through School Messenger, informing them of their child's absence. By running this report daily at approximately 2:15 pm, Tulsa Tech ensures timely communication with parents regarding their children's attendance.

Instructions

  1. Log into Colleague Production environment.
    Please note: This may require you to enter your Tulsa Tech user name and Tulsa Tech password and/or go through DUO.

  2.  In the form search type XDCA and press enter.

  3. Enter report criteria:
    Attendance Date: defaults to today's date
    Term: (2024LT)
    Sched Type: (AT & PT only)
    Location: (BA, LEM, PEO, OWA, RS)
    EXCLUDE Students: (student ID(s) for students you would like to exclude from the list)
    INCLUDE Students: (student ID(s) for students you would only like to include on the list)
    Test Phone Number: (leave blank)
    Activate Calling System (Yes)
     
  4. Click Save All on Additional Selection Criteria screen.

  5. Click Save All on print screen.

  7. Report will be visible in the Report Browser. Report fields:
    Date of Absence
    Student ID
    Student Name
    Student Phone Numbers
    Absence Code
    Student Type
    Section Name

    Note: The next steps are option for campuses.
  8. Click Export PDFUploaded Image (Thumbnail)

  9. You may access report in your Downloads to print or save to a folder.

  10. The next morning and email from School Messenger will be delivered to the Campus Attendance mailbox.  Review the report to see if any phone numbers are disconnected.  If any, contact students to update phone numbers in the NAE screen in Colleague.
