The Colleague Existing Person Record was Incorrectly Overwritten by New Person Record form allows those who have identified two or more records in Colleague as “duplicates” where an existing record was incorrectly overwritten when a record from Enrole synced to an incorrect record. Requestors will need to identify the original record to keep and the duplicate record(s) that either need to be restored to its previous information or flagged as “Duplicate” to prevent any further registrations from occurring on those records.
Submit Form (Request Service)
All fields on the form are required to submit the request.
- Enrole Person ID of New, Different Customer
- Enter the Enrole PERSON ID of the record that synced incorrectly to Colleague.
- Correct Colleague ID (Person record you just found in Colleague or created new).
- Enter the Colleague ID for the record the Enrole PERSON record should have synced too and needs to be updated too.
- Incorrect Colleague ID (Person record that was overwritten by Enrole).
- Enter the Colleague ID of the record that was overwritten and needs the information restored on.
- Is the student enrolled in a Blackboard class?
- Select “Yes” or “No”
- Selecting Yes – the ticket will be placed “On Hold” until the end date of the Blackboard class has occurred. This will ensure the student does not lose access to their class and assignments on Blackboard. The ticket will be processed when the student is no longer taking a current Blackboard class.
Ticket Process
Once the Colleague Merge Duplicate Person Records request has been submitted, it is automatically assigned to the IT Helpdesk team. They will take responsibility for the ticket and begin processing the ticket. The requestor who submitted the ticket will then receive notification stating the merge request has been completed and ITS will update the ticket to “Resolved”.
