Create a Subsession

From the Main Session you wish to add a Sub-Session to, click on Add Sub-Session from the left menu

The Add Sub-Sessions pop-up box will appear.

Begin filling out the Add Sub-Session pop-up by completing the “Session” section:

  1. Enter the Sub-Session ID
    1. IMPORTANT: Sub-Session IDs are unique like Main Session IDs (i.e. 2022ST-FOOD-0007-S1000)
    2. Double-check your Sub-Session IDs are entered correctly, BEFORE saving, to prevent mistakes and integration issues
  2. Select the Show From and Show To Dates
  3. Add the Sub-Session Title
  4. Choose a Status (you may leave it as the default option of ‘Open’)

Next, complete the “Schedule” section:

  1. Choose a Start Date and End Date
  2. Enter a Start Time and End Time

To add Pricing already built on a Course, select Search.

A Quick Search pop-up will appear. Enter the Course ID you wish to pull the pricing template from and click Add.

You can create a Pricing Template (although it is preferred you use the Pricing Template relevant to that course) by clicking Create/Modify.

The Pricing pop-up box will appear. Fill out the Code, Description, Price, Activation/Expiration Dates, and uncheck the Show box

NOTE: A Sub-Session will not appear on the Shopping Cart website if you forget to set Pricing. Even if the cost of the Session is being taken at the Main Session, you must create a fee code of $0.00 if the Sub-Sessions are FREE. This will ensure the Sub-Sessions are displayed on the Shopping Cart website for students to select at the time they register.

Sub-sessions can be attached to the same Course as the Main Session or to a different Course. Click Search.

The Quick Search pop-up box will appear. Enter the Course ID you wish to assign for the Sub-Session, then click Assign.

In the “Enrollment” section, the Min and Max values are defaulted from the Main Session. Edit them if necessary.                         

Next, Search or Create an Instructor (the same way you would on a Main Session).

Search for the Instructor if they already exist in Enrole. The Quick Search pop-up box will appear. Click Add.

Create an Instructor if they do not already exist in Enrole. The Create Instructor pop-up box will appear. Enter the Instructors information into the appropriate fields and click Create Instructor.

The Venue is defaulted from the Main Session. Search for the Facility if necessary. NOTE: Do not create a Facility. Instead, submit a Help Desk ticket to IT for the missing facility location to be added to Enrole.

The Quick Search pop-up box will appear. Select the Building and then click Assign to attach the Facility Location.

Ignore the “Correspondence” Section like you do on the Main Session. Click Add/Create to finish Adding a Sub-Session.
