Laserfiche - Repository: Overview of File Structure

Introduction:

The file structure of a Laserfiche repository consists of a root folder that contains subfolders and documents, which can be further organized by subfolders. Each folder and document can have its own set of permissions, and the repository includes a powerful search functionality. This file structure is flexible and customizable, allowing Tulsa Tech to manage content in a way that suits our specific needs and workflows.

Prerequisites:

In order to use the Laserfiche Repository, your supervisor needs to submit a request using the Laserfiche Account service request. You can find the direct link to this request form under the "Related Services" category located on the right-hand side of the page. Simply click on the link and your supervisor can fill out the necessary information to request your Laserfiche account. Once the request is submitted and processed, you will be granted access to the Laserfiche Repository and can start using its features.

Overview of Each File Folder:

Tulsa Tech The "Tulsa Tech" folder is the main repository for records. This can be considered the central hub for all documentation. Uploaded Image (Thumbnail)
 _Import Agent The "_Import Agent" is used for workflows and business processes as a temporary staging area. Access to this folder is limited to Laserfiche Admins. Uploaded Image (Thumbnail)
BOE Documents The "BOE Documents" folder contains Board of Education Meeting archives from 1973 through 2009. This folder is only accessible to staff who have received specific authorization.
  • Records that were previously stored within AppXtender are now here; AppXtender has been retired

Gradebook The "Gradebook" folder contains archived Gradebook scans from as far back as the 1980s. If there is a business need for searching for documentation that may be housed in this folder, please send an email request to district.registrar@tulsatech.edu. Include as much information as possible, including but not limited to: known student name(s), ID #, year of attendance, program name, etc.
  • Records that were previously stored within AppXtender are now here; AppXtender has been retired

 Student Records The "Student Records" folder contains records for students since 2016.
  • All Adult Career Development (ACD) and Business and Industry Services (BIS) end of class certificates are added daily when the Certificate Process runs within the Enrole Correspondence Portal.

  • Records that were previously stored within AppXtender are now here; AppXtender has been retired
