Introduction
The file structure of a Laserfiche repository consists of a root folder that contains subfolders and documents, which can be further organized by subfolders.
Each folder and document can have its own set of permissions, and the repository includes a powerful search functionality.
This file structure is flexible and customizable, allowing Tulsa Tech to manage content in a way that supports our specific business needs and workflows.
Overview of Each File Folder
Use this section as a quick reference for what each top-level folder contains, who can access it, and how to request records when access is restricted.
Folder: Tulsa Tech
Purpose: Main repository root folder and central hub for all documentation.
Path: \Tulsa Tech\
Access: Varies by department and security permissions.
Folder: _Import Agent
Purpose: Temporary staging area for workflows and business processes.
Path: \Tulsa Tech\_Import Agent\
Access: Laserfiche Admins only.
Folder: BOE Documents
Purpose: Board of Education Meeting archives (1973–2009).
Path: \Tulsa Tech\BOE Documents\
Access: Restricted. Authorization required.
Folder: Gradebook
Purpose: Archived gradebook scans (as far back as the 1980s).
Path: \Tulsa Tech\Gradebook\
Request records: Email district.registrar@tulsatech.edu with student name(s), ID number, year of attendance, and program name.
Folder: Student Records
Purpose: Student records since 2016.
Path: \Tulsa Tech\Student Records\
Notes: ACD and BIS end-of-class certificates are added daily through an automated process.
Folder: Student Records until 2015
Purpose: Student records through 2015.
Path: \Tulsa Tech\Student Records until 2015\
