Frequently Asked Questions (Instructors)
Q: I’m overwhelmed by the number of "Claim Emails" I get for my students. Is there a way to manage them?
A: If you're receiving too many "Claim Emails," you can set up rules in Outlook to automatically organize or filter these emails. This will help manage the influx more effectively and reduce clutter in your inbox. Follow the steps outlined in this Microsoft guide on creating rules in Outlook to automatically sort or manage these messages.
Q: Why are we moving away from the unique generic password? Will I still be able to login as my student?
A: We’ve stopped using generic passwords to improve security. Phishing attacks are a big risk, and schools have been targeted more often recently. Strong, unique passwords are a key part of keeping accounts safe. For this reason, you won’t be able to log in using a student’s password anymore.
Q: Will the Student Management App (SMA) be discontinued?
A: No, not at this time. The SMA will be addressed in phase 2 of this project. While it will undergo some changes, it is not going away. Currently, the SMA assigns a generic password when resetting student passwords, but going forward, it will assign a random password each time a password is reset. We encourage users to change this password to something they can easily remember.
Q: As an instructor, why can I no longer have access to my Student’s Home Drive?
A: The reason instructors no longer have access to their students' Home Drives is due to a few changes aimed at simplifying logins and improving management. We've noticed more students enrolling in multiple programs simultaneously, and under the current system, each student's home drive is segmented into sub-folders based on their instructor's program. This setup creates challenges for students with multiple instructors.
As part of this project, we're consolidating all student home directories into a single location under a folder named "Student_Home," which includes directories for both Full-Time and Workforce Education Division (WED) students—around 25,000 directories in total. Allowing instructors to access these directories would require them to search through all student folders, making it inefficient.
As an alternative, we recommend having students create a shared folder using OneDrive and share it with you. OneDrive offers easier access, even from outside Tulsa Tech's network.
Q: How do I have students share their Home Drive with me?
A: Students will now need to share their Home Drive files with you through OneDrive. You can ask your students to follow this Microsoft guide to share their files or folders. Once shared, you’ll be able to access their files for grading or feedback, making it easier to manage student work.
